What's the Date?

As an event director and also event consultant for many local races, we are asked with helping to find a good date to host an event.  This is probably one of the most challenging aspects of pre-planning for an event.  Anytime someone comes to us and asks about putting on an event, unless it is one that has some history behind it, they will have to figure out when an appropriate time would be for the event.  It's actually a lot harder than you might think.

There are certain times of the year in South and Central Texas where it seems like everyone wants to have an event.  October for example is usually a great month as the weather is perfect and conditions ideal for events.  Unfortunately, every event also eyes those busy months and the calendar can get quite full.  The challenge is to find a date not only where there won't be as much competition but also an available venue can be found.  This is getting harder to do as many of the venues that have traditionally been used are starting to restrict usage or are pricing themselves beyond the reach of most small events.

I was reminded of the challenges of dates lately after the Rock N Roll announced that they would be moving their date in 2014.  Last year they had announced it and a lot of our clients were scrambling trying to move their historical dates around.  Then they came back and moved it again so everyone had to readjust their schedule again.  Fortunately, the announcements were made early enough that it wasn't too much of a hassle.  We're in the same position now for next year with many of these events but it looks like the schedule is solid now.  It will be interesting to see how everyone adjusts.

There has been a lot of talk lately about the saturation of the market with respect to road races.  While I agree that there are a lot more events than there were even two years ago, it is also true that there are more people running and competing in events.  While a lot of events have seen a decline due to the date saturation, I've also seen many other events grow.  It all depends on what the events have to offer and their ability to market themselves.  Some are naturally better than others.

I'm excited about the 2014 races season.  As we look at the dates and see events moving around, I'm seeing a lot of really good races on the horizon.  There are lots of choices for the competitive and non-competitive runner alike.  Athlete Guild will be there throughout the year to help make sure that these events are successful and that everyone has a great experience.
